Temporary PART TIME ADMINISTRATIVE ASSISTANT needed to cover for a 3 plus month LOA in Costa Mesa. This is an IN OFFICE role. Not a remote role.
This is an on-site, part-time assignment for an estimated duration of 3 months. The selected
individual will be expected to work between 3-5 hours per day, 20 hours per week from 9:00 am-2:00 p.m. Schedule is flexible and dependent upon candidate
availability

Government or Public Works administrative experience desirable, but not required
Example of Duties:
* Performs a variety of general office support tasks as assigned; prepares rooms for meetings; prepares refreshments and materials for meetings; runs errands; provides backup for other department or division office administrative support staff; recommends improvements in the workflow, procedures and use of equipment and forms; implement improvements as approved and develops/modifies office forms and reports, as required.
* Maintains and monitors office and Board supplies, materials and inventories; orders and stocks office and Board supplies as needed; arrange and coordinate with facilities/vendors for events and meetings; operates; troubleshoots and maintains office equipment.
* Performs a variety of general bookkeeping and clerical accounting duties and responsibilities; reconciles District credit cards; prepares and processes requests for payments, purchase requisitions, purchase orders and invoices.
* Maintains accurate and up-to-date files and records for assigned areas; maintains various logs, accounts, and files; updates and maintains various Board meeting files and lists.
* Greets, answers, screens and refers visitors and telephone calls, providing information and handling issues that may require sensitivity and the use of sound, independent judgment; maintains a high level of customer service quality while assisting customers in person and by telephone; responds to requests for information and complaints from officials, customers and the public and refers requests or complaints to appropriate staff and/or takes or recommends action to resolve the issue.
* Creates, types, formats, edits, revises, proofreads, sorts, files, tracks, and prints a variety of documents, reports, correspondence, memoranda, requests for proposals, agreements, contracts, specifications, manuals, statistical charts, and other documents and materials; creates and maintains databases of records, lists and projects; creates standard statistical spreadsheets; designs and revises routine to moderate forms, charts, and graphs.
* Assists and participates in the preparation of Board and Committee meeting packets/materials; prepare and post meeting notices and agendas; compile all information to be posted publicly, in accordance with legal requirements; post all meeting materials onto the District website; photocopy and assemble meeting materials; distribute/deliver packets and materials; prepare Board meeting templates for meeting minutes.
* Provides administrative support for staff; schedules meetings and makes meeting arrangements; prepares and distributes agendas and minutes; sends and receives faxes; copies, sorts, and distributes documents.
* Performs related duties as assigned.
